We have added six AI capabilities directly into ProRota, from a conversational AI assistant that answers questions about your rota in plain English, to a compliance risk briefing that flags deployment risks before every week begins.
ProRota has always been built around one goal: reducing the administrative burden of running a field-based workforce. Scheduling, compliance tracking, GPS attendance, incident reporting. Each of these modules replaced a manual process that was costing operations managers hours every week.
Today we are announcing the next step: six AI capabilities built directly into the ProRota platform.
These are not bolted-on integrations or separate tools. They are embedded in the parts of the platform you already use, and they are available to all ProRota customers on supported plans starting now.
Here is what each one does.
1. AI Workforce Assistant
The AI Workforce Assistant is a conversational chatbot that lives on every page of your ProRota dashboard. You can ask it questions about your workforce in plain English and get immediate answers drawn from your live business data.
Examples of what you can ask:
- "Who is scheduled at Site B on Thursday?" - "Which employees have SIA licences expiring in the next 30 days?" - "How many hours has @JohnSmith worked this week?" - "Are there any unallocated shifts next week?"
You can also use @mentions to ask about specific employees by name, and the assistant understands context, so follow-up questions work the way they would in a conversation with a colleague.
Beyond answering questions, the assistant can take actions. You can instruct it to schedule a specific employee at a site, and it will create the shift. This removes the need to navigate to the scheduler for routine additions when you already know what you need.
The assistant has access to live data from your ProRota workspace. It does not hallucinate shifts or staff that do not exist. It draws directly from your actual records.
2. AI Week Health Summary
Every week, before your schedule is published, you can generate an AI Week Health Summary with a single click. The summary analyses the entire week's rota and produces a plain-English briefing that flags:
- Unallocated shifts: positions on the schedule with no assigned employee - Working Time Regulation alerts: any employee scheduled for more than 48 hours, triggering the WTR weekly limit - Workload imbalances: employees with significantly more or fewer hours than the rest of the team - Coverage gaps: sites or areas where staffing levels fall below the required minimum
The summary is written as a paragraph, not a list of raw data. A scheduler can read it in 30 seconds and know exactly what needs attention before the week begins. It replaces a manual review process that, for a complex rota, could take 20–30 minutes.
3. AI Compliance Risk Briefing
The Compliance Risk Briefing is generated at the start of each week and addresses a specific question: are any employees scheduled for shifts this week who should not be deployed?
The AI scans every scheduled employee's compliance records, SIA licence expiry dates, Right to Work document status, visa expiry dates, and any other credentials tracked in ProRota, and produces a named warning paragraph identifying anyone with a compliance risk in the coming week.
The briefing names individuals, specifies the risk (for example, "SIA licence expires in 8 days"), and lists the shifts they are currently assigned to. A compliance manager or operations director can review it in under a minute and take action before the week starts.
This replaces a manual process that, in most security companies, either does not happen at all or relies on someone remembering to check a spreadsheet. The AI does it automatically, every week, without fail.
4. AI Area Coverage Summary
For schedulers managing multi-zone sites, a large venue, a hospital campus, a retail park, the Area Coverage Summary provides an AI-generated analysis of coverage by specific zone or area within a site.
It identifies days where a particular zone has no cover, shifts that are unassigned within an area, and employees approaching overtime within a specific zone. For operations teams managing complex sites, this removes the need to mentally track coverage zone by zone across an entire week.
5. Intelligence Support Hub
The Intelligence Support Hub is a full-screen AI-powered support and knowledge centre built into ProRota. Managers and administrators can search across 15-plus topic areas, scheduling, compliance, HR, payroll, GPS, leave management, and more, and get context-aware answers instantly.
This is different from a help document library. You type a question the way you would ask a colleague, and the system returns a direct answer with relevant context, not a list of links to read. For new managers getting up to speed with the platform, it significantly reduces the time it takes to find how something works.
6. AI Assistant Guide
The AI Assistant Guide is a dedicated help section covering the AI Workforce Assistant in depth, command syntax, @mention usage, data query patterns, action execution, and troubleshooting. Each of the eight sections includes a live Q&A component where managers can ask questions specific to their use case.
For teams adopting the AI assistant for the first time, this is the reference document that turns a first-time user into a confident one.
What This Means in Practice
The practical effect of these six features is a reduction in the time operations managers spend on information retrieval and pre-shift review.
The manual process of building a week's schedule, checking compliance status, reviewing coverage, and identifying gaps can take several hours across a management team. With AI-generated summaries doing the analysis, the same review takes minutes, and catches things that manual review misses.
For compliance specifically, the briefing removes a category of risk that most companies carry without realising it. The information was always there; what was missing was a reliable process to surface it before deployment decisions were made.
